This policy explains what personal information HEXATRADE LLC (“HexaTrade”, “we”, “us”) collects through hexatrade.us, why we collect it, who we share it with, and the rights you have over it.
1. Who we are
HEXATRADE LLC is a limited liability company registered in the State of Wyoming, United States, with a registered office at 30 N Gould St Ste R, Sheridan, WY 82801, United States. We are the data controller for the information described in this policy. For any privacy question or request, write to info@hexatrade.us.
2. What we collect
Information you give us. When you submit a quotation request or email us, we collect the details you provide: your name, company name, email address, telephone or WhatsApp number, website, type of business, shipping destination (country, city, port and delivery address), the products and quantities you are interested in, your chosen incoterm, shipping method, currency, preferred payment method, target price, required delivery date, and any customisation notes or free-text message you add.
Information collected automatically. When you submit the quotation form, our server records the IP address the request came from and the time of submission. This is used solely to prevent abuse and spam, and to enforce the submission rate limits described in section 6.
Information stored on your device. The site stores your draft RFQ list in your browser's local storage so it survives a page refresh. This never leaves your device until you submit the form, and you can clear it at any time with the “Clear list” button on the quotation page or by clearing your browser data.
What we do not collect. We do not process payments on this website and we never ask for card numbers, bank credentials or government identification through the site. We do not use advertising cookies, third-party analytics trackers or social media pixels on hexatrade.us.
3. Why we use it, and on what legal basis
- To prepare and send your quotation and to correspond with you about it — necessary to take steps at your request prior to entering a contract.
- To fulfil and ship an order you go on to place — necessary for the performance of that contract.
- To keep records of enquiries and transactions — necessary to comply with our legal, tax and accounting obligations.
- To protect the site from spam and abuse — our legitimate interest in keeping the service available and secure.
We do not sell your personal information, and we do not send marketing email to people who have only requested a quotation unless they ask us to.
4. Who we share it with
We share personal information only where it is needed to do the job:
- Our hosting provider, which operates the servers where the website and its request logs are stored.
- Email service providers, which transmit and store the messages between us.
- Suppliers and manufacturing partners, where we need to pass on the technical details of your enquiry to obtain pricing. We share the product requirement and destination, not your full contact record, unless you ask us to introduce you directly.
- Third-party logistics and freight partners, where a shipment is arranged and delivery details must be provided.
- Professional advisers and authorities, where we are legally required to disclose information.
We do not transfer your information to anyone else for their own marketing purposes.
5. International transfers
HexaTrade is based in the United States and ships to customers in the United States, the Gulf region and Europe. Your information will therefore be transferred to, and processed in, countries other than your own — including the United States. Where personal data is transferred out of the European Economic Area or the United Kingdom, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses with the parties receiving the data.
6. How long we keep it
Quotation requests are retained for up to 24 months from the date of the enquiry so we can pick up an earlier conversation and honour prior pricing. Records relating to completed orders are retained for as long as required by applicable tax and commercial law, typically seven years. Anti-abuse records (IP address and submission timestamp) are automatically discarded after 24 hours.
7. Your rights
Depending on where you live, you may have the right to request access to the personal information we hold about you, to have inaccurate information corrected, to have your information deleted, to restrict or object to how we use it, to receive a portable copy, and to withdraw consent where our use is based on consent. Residents of the European Economic Area and the United Kingdom hold these rights under the GDPR; residents of California hold comparable rights under the CCPA/CPRA, including the right not to be discriminated against for exercising them.
To exercise any of these rights, email info@hexatrade.us. We will respond within one month. If you believe we have handled your information improperly, you may also lodge a complaint with your local data protection authority.
8. Security
The site is served over HTTPS. Quotation requests are validated on the server, rate-limited by IP address, and protected against automated submission. Stored request logs are held outside the public web root and are not reachable from the internet. Access is limited to the people at HexaTrade who need it to answer your enquiry. No system is perfectly secure, but we take these measures seriously and review them as the site changes.
9. Children
This is a business-to-business website and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with information, contact us and we will delete it.
10. Changes to this policy
If we change how we handle personal information, we will update this page and revise the “last updated” date above. Material changes affecting existing enquiries will be communicated by email where we hold a valid address.
